Who we are

Calyb.ai is operated by Calyb AI, Inc. Calyb.ai is an AI platform for commercial insurance workflows — submission intake, underwriting readiness, and broker/agency operations. This policy describes what data we collect through the Calyb.ai application and how we use it.

What we collect

• Account identity. Your email address and, when you sign in via enterprise SSO, the identity information your identity provider shares with us (via our authentication provider, Clerk).
• Submission data you upload. Insurance submission documents (ACORD forms, statements of values, loss runs, and similar) and the account details you enter (insured name, class of business, lines of business, effective dates, notes).
• Email drafts you capture. When you use the “Mark and Send” feature, we store the text of the drafted email so it’s available alongside the submission.
• Usage data. Basic product-usage records (e.g. when a guided walkthrough is started or completed) used to understand product adoption.

How we use it

• To authenticate you and maintain your account and organization association.
• To extract and analyze the contents of documents you upload, so we can assess submission readiness and surface facts, conflicts, and requirements to you.
• To generate follow-up/outreach drafts you request.
• To operate, maintain, and improve the product.

Third parties we share data with

We use a small number of subprocessors to run Calyb.ai. We don’t sell your data.

• Clerk — authentication (sign-in, session management, SSO).
• Google Gemini (Google Cloud) — the documents and text you upload are sent to Gemini’s API for extraction and analysis. This is what powers document reading and readiness assessment.
• Google Cloud (Cloud SQL and Cloud Storage) — hosting for your account data and uploaded files.

Data retention and deletion

Submission data is retained for as long as your account is active. You can delete an individual submission at any time, which removes its uploaded files and records. You can also request full deletion of your data, which removes uploaded files while retaining a minimal analysis record for audit purposes unless you request full account deletion, which removes your account and all associated data.

Security

Access to submission data is scoped to your account. Files are stored in access controlled cloud storage; data in transit is encrypted (HTTPS/TLS).

Changes to this policy

We may update this policy as the product evolves. Material changes will be reflected by updating the “last updated” date above.
